Control Tip Reporting

Employees can be reluctant to include cash tips when recording tips in Terminal, but reported tip amounts under a certain percentage can raise questions with tax authorities, and may lead to audits or reviews. SpeedLine can calculate an estimated tip percentage based on tickets assigned to an employee, and can require a manager override to report less than this percentage. Follow the steps below to set this up.

1. Ensure the Tips to Report window is set to appear at clock out, so employees can record tips:

a.On the Settings tab, click People, and then click Employee Options. icon_employeeOptions

b.Click the Departments tab.

Note If the Tip Prompt or Tip % settings are not visible on the Departments tab, they are set by employee, and will appear on the Jobs tab of individual employees (see Assign Job and Salary). To change where the settings appear, see Choose Settings to Apply by Department.

c.For the tipped departments select the Tip Prompt check box. Tips reported in the Tips to Report window  at clock out will appear on time sheet and minimum wage shortfall reports.

Note Drivers and servers are the typical tipped departments, but if your employees share tips with members of other departments such as cooks, it is recommended that you activate the Tip Prompt setting for those departments as well.

2.To set an estimated tip percentage to show in the Tips to Report window:

a.In the Tip % field, enter a minimum percentage of assigned sales to show as estimated tips when members of this department clock out (for example, 8%).

b.In the sidebar, click Orders, and then click Order Types.

c.For the order types that are usually tipped, select the Include in tip subtotal check box. Order types that do not have this check box selected will not be included in the estimated tip percentage.

3.To ensure employees report at least the total amount of tips recorded on tickets assigned to them in the Tips to Report window:

a.On the Settings tab, click Money, and then click Bank Options. icon_bankOptions

b.On the General tab, ensure the Allow Tip Reporting Less Than Recorded check box is cleared.

4.To enforce the reporting of tips, set security for the department:

a.Click People, and then click Employee Options. icon_employeeOptions

b.Click the Departments tab.

c.For the department that you want to enforce tip reporting for, click the Security button. bLock

Note If the Security button is not visible, security is set by employee, and will appear on the Jobs tab of individual employees (see Assign Job and Salary). To change where the settings appear, see Choose Settings to Apply by Department.

d.In the Security Privileges window, expand the Terminal section, and then expand the Bank Options section.

e.To allow changing of the actual tip amount to report more or less than the estimated amount, select the Change Tips Reported check box.

f.To prevent reporting of tips less than the estimated percentage without a manager override, ensure the Override Reporting of Tips Below Estimate check box is cleared.

Best Practice HM

Hint If the Change Tips Reported check box is selected, but Override Reporting of Tips is cleared, employees can enter more than the estimated tip percentage without an override, but not less.
