Typically, gift certificates are printed in a numbered series. These procedures explain how to add a record of the certificates to Store Manager, which allows them to be issued (sold) and redeemed for products in Terminal. When you add gift certificates to Store Manager and select the Track Gift Certificate Numbers setting on the Gift Certificates Options tab, SpeedLine will also track the issue and redemption of the certificates.
To Add a Series of Gift Certificates
1.Go to the Settings> Money> Gift Certificates > List tab.
2.Click the Generate button to open the Generate Gift Certificates window.
3.In the Starting # field, enter the tracking number of the first gift certificate in the series you want to generate.
4.In the Ending # field, enter the tracking number of the last gift certificate in the series you want to generate.
5.In the Increment field, enter the number of units to add to the current number when the next one is generated.
For example, if your starting number is 100, your ending number is 200, and your increment is set at 10, you will generate 11 gift certificates numbered 100, 110, 120 and so on to 200.
Important •Gift certificate numbers cannot have leading zeroes. •Double-check your Starting #, Ending #, and Increment rate to ensure that the correct number of certificates will be generated. Deleting excess certificates from the list can be time-consuming. |
6.If you use prefixes or suffixes to identify certificates, enter them in the Leading Characters and Trailing Characters fields. If these fields are not shown and you want to enter a prefix or suffix, clear the Numeric Gift Certificate Numbers Only check box on the Gift Certificates> Options tab.
7.If your printed certificates show an amount, in the Amount field, enter the dollar value of the gift certificates you want to generate. If the printed certificates do not specify an amount, leave the Amount field set to $0.00.
Important If the Restrict to Denominations setting on the Denominations tab has been selected, the dollar value you enter in the Amount field should match one of the denominations listed on the Denominations tab. |
8.Click OK.
9.Click OK to confirm the addition of the certificates. The new gift certificate series is added to the List tab with "Open" status.
10.On the Edit menu, select Save Changes.
11.Refresh Terminal. The new certificates will be available for issue.
To Add an Individual Gift Certificate:
1.Go to the Settings> Money> Gift Certificates > List tab.
2.Click the Add button to create a new gift certificate entry.
3.Enter the number that will be used to track the certificate in the Number field.
4.If the printed certificate is for a certain amount, in the Amount field, enter the dollar amount for the certificate. If the printed certificate does not specify an amount, leave the Amount field blank.
5.Click Save. The new gift certificate will be listed as "Open."
6.On the Edit menu, select Save Changes.
7.Refresh Terminal. The new gift certificate will be available for issue.
